Exhibiting at the SMA Annual Conference

The SMA Annual Conference attendees are interested in the latest developments related to your products and services. The SMA welcomes member and non-member companies to exhibit at our annual conference. Non-member companies must be approved by the Marketing and Membership Committee Chair. Any non-member exhibitor choosing to join the SMA membership during the Annual Conference will receive a $300 credit toward their annual membership dues.

Exhibiting Policy

Promotional displays, materials, literature, samples, etc. may not be distributed at SMA events except by registered SMA Exhibitors in the Exhibit Hall. Such promotional items are subject to SMA approval and may not include pricing or any form of comparison to specific competitors.

Exhibitor Discount

Members! Receive a 20% Discount on SMA Newsletter Advertising for the March and/or June issues when you register to exhibit by January 10th.

Exhibitor Deadlines

Exhibitors are provided a FREE quarter page ad in a preconference promotion distributed nationwide. Exhibitor ad copy and logo, in JPEG format, are due by March 20th to sma@stairways.org. Ads should be sized to 3-3/4″w x 4-3/4″h.

Each exhibitor may include a 2-sided, single piece of literature to be included in the conference package provided to each attendee. The collateral must be delivered to the conference venue by April 26th to guarantee inclusion in the attendee packets.

Exhibit Specifications and Options

Registration Fee –  Admittance to the full conference for one attendee and the exhibit table fee are included in the exhibitor registration fee. Upon request additional employee exhibit staff may attend at a discounted rate that includes only exhibit hall events or with full conference registration as an additional employee.  Exhibitors registering late will be welcomed as space is available and subject to the late registration fee and available promotions.

Exhibit Specifications  Each exhibit consists of a single 24″ x 72″ tabletop within an 8′ x 8′ space. One additional table may be purchased when registering online.  Access to a single 110v outlet can be provided if needed.  An additional charge may apply as determined by venue. Questions and requests may be directed to 877-500-5759 or sma@stairways.org.  All exhibitors will be subject to the venue’s regulations.  All vendors will be required to complete their setup and be prepared to start at the opening of the exhibit hall.

Exhibit Location – Choice of location will be determined on a first come, first served basis by the sequence of registration date/times so be sure to register early.  Layout for location choice will be made available as soon as the Hotel has assigned.

Shipping   All goods shipped to the venue are subject to venue charges and are to be coordinated directly by the exhibitor. You will be responsible for all handling and shipping charges.  Please pay them prior to check out.  If any shipping charges fall on the SMA master account you will be invoiced a $25 admin fee in addition to all shipping changes in your name, payable upon receipt.  All items must be shipped in accordance with Hotel’s policies and instructions.
